Great opportunity to work as a part of our newly created Business Support Central Team. This role will be responsible for primary focus in providing complex administrative support for individuals and/or department while continuously looking for improvement opportunities (. Works under limited supervision with general instructions given on new assignments and assists by deliver to business and cross-divisional partnering best practices & process sharing

Responsibilities

  • Handling internal processes for Business organization, Sales and other internal/external stakeholders as part of the Central team responsibilities
  • Support for Sales Teams related with Internal Documents: management, preparation & coordination according to BSC policies and regulations
  • Maintains both manual and automated records, collects and compiles sensitive and confidential statistics and prepares reports and analysis if needed
  • Serves as a point of contact for Internal customers. Obtaining or providing information on matters of moderate importance to the organization and may be of a sensitive nature
  • Follow-up cases to resolution
  • Answers complex functional questions that may require additional research and follow-up
  • Anticipates and coordinates projects/assignments, organizes own schedules, and that of others, to meet deadlines. May gather and prepare data in preparation of upcoming meetings & projects
  • Identifies, can assess and implement process improvement opportunities using Lean Business Process tools and techniques. Able to perform data gathering and root cause analysis
  • Assists in problem resolution as needed to ensure that internal and external customers receive best in class service in the most efficient way with usage of process improvements techniques (Lean)
  • Performs other general administrative duties that may include photocopying, coordinating meetings/appointments, , arranging travel, preparing and/or sorting mail

Requirements

  • Experience in a similar role in Shared Services/BPO or in administrative department is preferred
  • Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; provides guidance to peers as necessary regarding proprietary information
  • Ensures awareness and compliance with applicable standard operating procedures to meet, comply and champion all quality and regulatory commitments of Boston Scientific. Lean Business process practical experience – knowledge of tools and techniques preferred ( Lean six sigma certification would be a benefit)
  • Very good organizational administrative skills and attention to details
  • Able to work independently and think critically
  • Adaptable and proactive
  • Focus on the quality of service delivery and continuous improvement
  • Looks outside the box for solutions, improvements, finding new best practices and implementing them
  • Analytical and problem-solving skills
  • Team player and self-motivated
  • Good knowledge of Excel
  • Fluent English and French or Spanish preferred
